1. What Information Do We Collect?
Personal information you disclose to us
In Short: We collect personal information that you provide to us.
We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.
Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:

- email addresses
- job titles
Sensitive Information. Rahatok does not directly process sensitive information as that term is defined under most major privacy frameworks. However, we acknowledge that the association of a patient's contact information with a specific healthcare provider may constitute health-related personal data under certain privacy frameworks, including GDPR Article 9 and Jordan PDPL Article 9. We process such data on the lawful basis of the Client's instructions as Data Controller, with appropriate patient-level consent obtained by the Client.
Payment Data. Payments for our Services are processed by Lemon Squeezy, which acts as our Merchant of Record. This means Lemon Squeezy is the legal seller of our software to you, processes the payment, handles applicable taxes (including VAT and sales tax), and issues the invoice. Lemon Squeezy collects payment-related information directly from you, including your billing name, billing address, country, and payment card details. This information is governed by Lemon Squeezy's privacy policy and is not stored by Rahatok. We receive only the transaction confirmation and the customer email needed to associate the payment with your Rahatok account. All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.
Information automatically collected
In Short: Some information, such as your Internet Protocol (IP) address and browser characteristics, is collected automatically when you visit our Services.
We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, country, and information about how and when you use our Services. This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes.
The information we collect includes:
- Log and Usage Data. Log and usage data is service-related, diagnostic, usage, and performance information our servers automatically collect when you access or use our Services. Depending on how you interact with us, this log data may include your IP address, device information, browser type and settings, and information about your activity in the Services.
- Location Data. We collect general location data such as country and region, derived from your IP address. This data is imprecise and is used for operational and analytics purposes.

Our use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We process your personal information for a variety of reasons, depending on how you interact with our Services, including:
- To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order.
- To deliver and facilitate delivery of services to the user. We may process your information to provide you with the requested service.
- To respond to user inquiries and offer support. We may process your information to respond to your inquiries and solve any potential issues you might have with the requested service.
- To send administrative information to you. We may process your information to send you details about our products and services, changes to our terms and policies, and other similar information.
- To fulfill and manage your orders. We may process your information to fulfill and manage your orders, payments, returns, and exchanges made through the Services.

Vendors, Consultants, and Other Third-Party Service Providers. We have contracts in place with our third parties, which are designed to help safeguard your personal information. They cannot do anything with your personal information unless we have instructed them to do it. They will also not share your personal information with any organization apart from us, and they commit to protect the data they hold on our behalf and to retain it for the period we instruct.

Subprocessor Retention and Processing. Patient messages may transit through our AI service providers for natural language processing and through our workflow automation provider for routing. Our AI service providers process data via API and do not use such data to train their foundational models. Standard API retention by these providers is limited to short-term abuse-monitoring windows (typically 30 days). Workflow automation execution histories may be retained by the provider for debugging purposes per their standard policies. We also may need to share your personal information in the following situations:
- Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
4. Do We Offer Artificial Intelligence-Based Products?
In Short: We offer products, features, or tools powered by artificial intelligence.
As part of our Services, we offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies (collectively, "AI Products"). These tools are designed to enhance your experience and provide you with innovative solutions. The terms in this Privacy Notice govern your use of the AI Products within our Services.
Use of AI Technologies
We provide the AI Products through third-party service providers ("AI Service Providers"), including Google Vertex AI (Gemini), processed within the European Union (europe-west1, Belgium). Your input, output, and personal information will be shared with and processed by these AI Service Providers to enable your use of our AI Products for purposes outlined in When and With Whom Do We Share Your Personal Information?.
Data processed through our AI Service Providers via API is not used to train their foundational models. Standard API-tier processing involves short-term retention for abuse monitoring (typically 30 days) and is governed by the AI Service Provider's enterprise data processing terms. You must not use the AI Products in any way that violates the terms or policies of any AI Service Provider.

All personal information processed using our AI Products is handled in line with our Privacy Notice and our agreement with third parties.
5. How Long Do We Keep Your Information?
In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this Privacy Notice unless otherwise required by law.
We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). No purpose in this notice will require us keeping your personal information for longer than the period of time in which users have an account with us.
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.
6. How Do We Keep Your Information Safe?
In Short: We aim to protect your personal information through a system of organizational and technical security measures.
We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information.
7. Do We Collect Information From Minors?
In Short: We do not knowingly collect data from or market to children under 18 years of age.
We do not knowingly collect, solicit data from, or market to children under 18 years of age, nor do we knowingly sell such personal information. By using the Services, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to such minor dependent's use of the Services. If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. 8. What Are Your Privacy Rights?
In Short: You may review, change, or terminate your account at any time, depending on your country, province, or state of residence.
Withdrawing your consent: If we are relying on your consent to process your personal information, which may be express and/or implied consent depending on the applicable law, you have the right to withdraw your consent at any time. You can withdraw your consent at any time by contacting us using the contact details provided in the section How Can You Contact Us About This Notice? below.
However, please note that this will not affect the lawfulness of the processing before its withdrawal nor, when applicable law allows, will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.
Account Information
If you would at any time like to review or change the information in your account or terminate your account, you can contact us using the contact information provided.
Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms and/or comply with applicable legal requirements.

9. Controls for Do-Not-Track Features
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.
10. Role as a Data Processor
For the purposes of providing appointment scheduling services to medical clinics and healthcare providers ("Clients"), Rahatok acts as a Data Processor. Our Clients act as Data Controllers and are responsible for obtaining the necessary consent from their patients ("End Users") and ensuring a valid legal basis for processing personal data via our services. Rahatok processes such data strictly in accordance with the instructions of our Clients and the terms of our service agreements.
Rahatok and our Clients enter into a Data Processing Agreement (DPA) that governs the processing of End User personal data. The DPA covers data security obligations, subprocessor arrangements, and data subject rights handling.
The data processed on behalf of Clients via Rahatok is limited to information necessary to facilitate appointment scheduling, such as patient name, phone number, and appointment time. Rahatok does not store medical records, diagnoses, or chat transcripts. Patient messages may transit through our subprocessors (including AI service providers and workflow automation providers) for the purposes of natural language processing and message routing, in accordance with the retention and processing practices described in Section 3.
Clients are responsible for verifying that the cross-border data flows inherent in Rahatok's architecture (including processing in the United States and other jurisdictions where our service providers operate) are permissible under their applicable healthcare data residency, patient privacy, and Ministry of Health regulations. Rahatok provides documentation about data flows and subprocessor locations to assist Clients in their own compliance assessments, but Rahatok does not warrant compliance with any specific national healthcare regulatory regime.
End Users (patients) who wish to exercise their data rights, including access, correction, or deletion, should contact the Client (clinic) with whom they have a direct relationship. Rahatok will assist Clients in fulfilling such requests as required under our DPA.
11. Do We Make Updates to This Notice?
In Short: Yes, we will update this notice as necessary to stay compliant with relevant laws.
We may update this Privacy Notice from time to time. The updated version will be indicated by an updated "Revised" date at the top of this Privacy Notice. If we make material changes to this Privacy Notice, we may notify you either by prominently posting a notice of such changes or by directly sending you a notification. We encourage you to review this Privacy Notice frequently to be informed of how we are protecting your information.
